Reclaim.ai Pricing Explained for Small Teams

Reclaim pricing explained from Lite through Business, including seat math, AI-agent allowances, scheduling range and integrations.

Reclaim is seat-based once you leave Lite. The upgrade decision is less about basic focus time and more about how many agents, scheduling links, integrations and team controls the workflow needs.

Decision rules

When to move up a tier

  • Lite is enough to validate calendar optimization for one person.
  • Starter is the practical small-team tier when everyone needs recurring focus/habit automation and a few scheduling links.
  • Business is justified by larger agent allowances, longer scheduling range, unlimited calendar syncs/links, webhooks and team controls.
Watchouts

What the headline price can hide

  • Annual billing lowers the per-seat monthly equivalent.
  • A five-person team should multiply the seat rate before comparing it with a fixed-price workspace tool.
  • Calendar automation only saves time when working-hour, priority and meeting rules are configured correctly.

Who it's for / who should skip it

Who it's for

Lite suits one person who wants to test focus time and basic calendar automation without a subscription. Starter suits a small team whose recurring habits, scheduling links and integrations justify per-seat pricing. Business makes sense when the team uses more AI agents, a longer scheduling horizon, unlimited calendar syncs and links, webhooks or shared administration.

Who should skip it

Skip a paid plan if ordinary calendar blocks and Lite solve the problem. Skip Business if its extra capacity and controls will sit unused. Skip Reclaim as a substitute for a CRM or project system: it coordinates time, but the underlying tasks and customer records still need owners. A team unwilling to configure working hours and priorities will get little from an automatic scheduler.

Official discounts: eligibility before arithmetic

Reclaim's pricing and help pages list four programs. Education offers 50% off a paid plan for up to 12 months for eligible students, educators, administrators and institutions. Nonprofits can apply for 20% off for three years, subject to qualifying charitable status and review. Startups can apply for 20% off for three years; the published application criteria include at least five seats, fewer than 100 employees, less than $10 million raised and founding within five years. Switching from a smart scheduling product such as Calendly, Clockwise or Motion can qualify for 20% off for six months, or 12 months for a team of ten or more, with proof of an active account.

The vendor says discounts are calculated against list prices, cannot be stacked and generally exclude Enterprise. Its overview says education and nonprofit discounts may apply to month-to-month or annual plans; each program has its own application and verification process. Do not advertise the discounted price as automatic. An eligible organization should apply, wait for approval and confirm how the code interacts with its chosen billing cadence and renewal date before budgeting the lower amount.

Seat math after a discount

The listed Starter price is $12 per seat monthly, with a $10 per seat monthly equivalent when billed annually. Business is $18 monthly or a $15 annual-billing equivalent. Five Starter seats therefore have a $60 monthly list bill on monthly billing, or a $50 monthly equivalent on an annual commitment. If a qualified nonprofit receives 20% off the relevant list price, the monthly Starter example becomes $48 for those five seats during the approved period. That is arithmetic, not a guaranteed checkout quote; eligibility, billing terms and taxes still matter.

An education discount can change the near-term choice dramatically, but it expires after up to 12 months. The switching offer has a different duration for teams of ten or more. A three-year nonprofit or startup offer should be modeled with an explicit end date. Put the undiscounted renewal rate next to the promotional budget so the team does not mistake temporary relief for a permanent unit cost. Reclaim says discounts cannot be combined, so choose the program that actually applies and has the best verified terms rather than adding percentages together.

There is also a capacity question. Lite has one user, five AI agents, one-week scheduling range, one calendar sync and one scheduling link. Starter extends the range, integrations and team capacity. Business adds 100 agents per seat, a 12-week scheduling range, unlimited syncs and links, webhooks and team controls. A discount does not make a higher tier useful if its extra tools have no job to do.

Pick the lowest tier that removes a real bottleneck

Begin with a calendar audit. Count meetings that require coordination, recurring focus blocks that are repeatedly displaced and the number of calendars and scheduling links in use. If Lite handles those tasks for one person, keep it. If multiple staff need automated habits, team scheduling and more integrations, model Starter by the actual paid seat count. Business should be tied to a named requirement such as webhooks, delegated administration or a greater scheduling range, not the hope that more agents will automatically make everyone productive.

Reclaim is a time coordination layer. Its value depends on correct working hours, meeting priorities, calendar permissions and team adoption. Pilot it with one predictable week, inspect how it reacts to a changed meeting and compare with a manually managed calendar. If the automation creates more corrections than it saves, fix configuration or stay on the simpler workflow. For adjacent choices, see Reclaim vs Motion, the meeting follow-up workflow and the software cost calculator.

Reclaim does not have an approved affiliate URL on this site. Its action links remain ordinary vendor links, and no sponsorship attribute is applied. That status does not change the judgment: the free plan may be the right pick; a verified discount may justify a paid tier; or the existing calendar may be enough. Confirm current plan and promotion terms on Reclaim's pricing page before purchase.
