How to Audit Your AI Subscriptions

A practical 30-minute audit for finding duplicate AI tools, unused seats, hidden per-seat creep and subscriptions that do not map to a measurable workflow.

1. Export the subscription list

Collect every AI, automation, CRM, meeting, content, scheduling and newsletter charge. Include annual plans converted to a monthly equivalent and free tools that still create workflow dependence.

2. Assign each tool one primary job

If you cannot name the recurring job a tool owns, mark it for review. 'AI' or 'productivity' is not a job; lead follow-up, meeting notes, SEO research and newsletter publishing are.

3. Find overlapping capability

Circle general assistants, AI writers, meeting bots, schedulers and project tools that cover the same node. Duplication is often where the fastest savings live.

4. Measure actual usage and value

For each paid tool record active users, weekly usage, hours saved, revenue protected or quality improvement. A tool with no measurable output is a cancellation candidate.

5. Check seat math

A $20 tool becomes $100 at five seats. Ask whether every seat needs full access or whether one shared workflow owner is enough.

6. Cancel in the right order

Remove unused seats first, then duplicate point tools, then tools with weak workflow value. Do not break a proven revenue or compliance-critical workflow just to hit an arbitrary software budget.

FAQ

How to decide what survives the cut

How often should I audit AI subscriptions?

Quarterly is a useful default for a small business, with an extra review after hiring, layoffs, major workflow changes or a burst of new tool trials.

What is the fastest cancellation test?

Ask which recurring job stops working if the subscription disappears. If nobody can answer, investigate before renewing.

Should I cancel a tool just because another tool overlaps?

No. Compare the actual workflow, adoption and switching cost. Overlap is a signal to test consolidation, not automatic proof that one tool is unnecessary.
