Decision rule

Tools are the last decision.

First define the problem, workflow and required nodes. Then choose the smallest eligible tool set that covers them.

1 · Problem

Fix the workflow before adding software.

Consultants sell judgment and trust, so the highest-value automation is usually around the work rather than replacing the judgment: capturing demand, organizing meetings, preparing follow-up and turning expertise into reusable content.

2 · Workflow

Build a lead-to-delivery operating loop: capture interest, maintain next actions, protect calendar time and reuse expertise without automating away client judgment.

Workflow 1

Website lead capture to pipeline

Capture website inquiries, place them in one pipeline and trigger a fast, reviewable follow-up sequence.

Trigger: A visitor submits a form, books or becomes a qualified lead.

Outcome: The lead enters a CRM, receives the right next action and has a visible owner/status.

Workflow 2

Lead follow-up without dropped opportunities

Move every qualified lead into a visible pipeline, schedule the next action and stop relying on memory.

Trigger: A lead is captured, replies, books or changes stage.

Outcome: Every active lead has an owner, stage and next action.

Workflow 3

Meeting notes to action workflow

Capture cleaner meeting notes, extract actions, assign work and protect the next focus block.

Trigger: A scheduled meeting starts or ends.

Outcome: Notes become reviewed actions with owners and calendar time.

Workflow 4

Content repurposing workflow

Turn one source idea into structured content, search support and an owned newsletter without stacking redundant writing subscriptions.

Trigger: A source idea, article, transcript or recording is ready.

Outcome: One source becomes a reviewed content package and distribution plan.

5 · Cost

Budget the workflow, not the directory.

Do not buy all eight candidates. The quiz scores the consultant’s actual bottleneck and solves the smallest eligible coverage set.

All listed paid-tool planning prices added together: $281/month. The quiz normally returns less because it solves for the minimum tool set and credits tools you already own.

Redundancy is a cost.

  • Outbound prospecting software when your pipeline is already full from inbound or referrals.
  • A second CRM for a pipeline already working in one system.
  • Multiple AI writers that duplicate your existing general LLM.
  • Automatic client advice or deliverables that require professional judgment.
6 · Setup

Build it in this order

Step 1

Pick the bottleneck: demand, follow-up, meetings or content.

Step 2

Keep one system of record for leads and next actions.

Step 3

Use meeting capture only where appropriate and permitted.

Step 4

Reuse approved expertise in content and follow-up drafts.

Step 5

Measure response time, utilization and hours saved before expanding the stack.

FAQ

Questions that change the decision

What is the best first AI workflow for a consultant?

Choose the recurring workflow costing the most time without adding professional judgment: follow-up, meeting administration or content repurposing are common starting points.

Should AI write client recommendations?

AI can assist with drafts and synthesis, but the consultant should own the recommendation, factual accuracy and client-specific judgment.

Do I need a CRM as a solo consultant?

Only when lead volume and follow-up complexity justify it. A simple existing system can be enough at low volume.
